As AIC shifts toward reopening for the fall, it is essential that campus offices open to support the needs of the campus community. While reopening at normal capacity is unlikely at this time, we do anticipate a structured return to work for most employees beginning the week of August 3, 2020.

In order to facilitate a safe return to campus, AIC employees will be required to follow a detailed list of personal safety guidelines, which include, mandatory usage of face coverings while in AIC facilities, increased handwashing/sanitation practices, and observing physical distancing while on campus. In an effort to support employee transition back to campus, AIC will host an online safety training which will detail standards and best practices in relation to COVID-19. Detailed information on personal safety practices can be found on the HR PAGE located on myAIC.

Employees who have been instructed to return to the workplace must conduct symptom monitoring every day before reporting to work. You must be free of ANY symptoms potentially related to COVID-19 or have had evaluation and clearance by health services or your personal physician to be eligible to report to work. A full list symptoms and monitoring standards can be found on the HR PAGE located on myAIC.

Work Environment

Work Environment

Supervisors will work with employees to ensure a safe working environment. All high traffic areas will be cleaned and sanitized multiple times each day. In addition to scheduled cleaning provided by C&W, each area will be equipped with sanitizer and cleaning products for additional cleaning when necessary.

Employees who work within open space environments where physical distancing is not feasible may be asked to follow a set schedule, which may include work from home options. All schedules will be confirmed by supervisors and HR prior to employees returning to work.

Expanded return to work will be tightly controlled and coordinated to mitigate potential risks. Once decisions to expand on-site employees in certain areas have been made, employees should follow the policies and protocols detailed in this guide for returning to work on campus.

Campus Meetings

Campus Meetings

Convening in groups increases the risk of viral transmission. Where feasible, meetings should be held virtually. In -person meetings are limited to the restrictions of local, state and federal orders, and must maintain six feet of separation for physical distancing requirements. During your time on-site, you are encouraged to communicate with your colleagues and supervisors as needed by email, telephone, or other available technology rather than face-to-face.

COVID-19 Exposure

COVID-19 Exposure

For employees who have had a positive COVID-19 diagnosis, COVID-19 exposure, or who have a close family member who has been exposed to COVID-19, please contact your supervisor and HR Manager for further steps. The EMPLOYEE RETURN TO WORK POLICY details specific expectations and requirements for each scenario.

AIC will assess expanded return to work based on mission-critical operations, ability to control and manage specific work environments, and necessity to access on-site resources. These decisions, once approved, will be communicated through the Human Resources department.

As staffing on-site increases and operations expand, administration will closely monitor and assess the potential spread of the virus, as well as existing policies and procedures to mitigate it.
